Stack Finder: the right admin tools for your practice

Answer 7 quick questions about your practice and get one tool pick per admin job (EHR, scribe, phones, intake, billing, marketing), with prices and BAA status as listed, an estimated monthly total, and your current tools kept in place.

Admin and operations only. The Stack Finder suggests software for administrative jobs based on the facts listed in this directory. It is not clinical, legal or compliance advice. It runs entirely in your browser and nothing you choose is sent or stored. Confirm pricing and BAA terms with each vendor. Terms
1. Practice type
2. How patients pay
3. Visits per week (whole practice)
4. Biggest headaches

Pick all that apply. Each one adds a pick for that job.

5. Monthly budget for the whole stack
6. Must-haves

Tools that clearly don't meet a must-have are left out. If our data can't confirm one, we say so.

7. Tools you already use

Pick everything you use today. We keep these in your stack and only suggest a replacement if one of your must-haves isn't met.

How the Stack Finder ranks tools

Every pick comes from a points system you can read in stack_finder_core.js. It runs in your browser, and it only uses your answers plus the facts on each tool page.

  • Practice type: +3 when a tool's listing says it is built for your type (prescribers, therapists or groups), +1.5 for general behavioral-health tools, +1.5 for "solo/small practice" tools, −2 for tools aimed at large organizations. Prescribers get −1 on therapy-only scribes.
  • Payment model: +2 for EHRs that list insurance billing when you take insurance (−4 if claims are "not a focus"). Cash-pay favors private-pay tools and down-ranks insurance-only billing tools.
  • Volume: under 15 visits a week favors pay-per-use and low-cost plans. 40+ a week favors unlimited plans.
  • Budget: your budget is split across the jobs you need (the EHR gets 1.5 shares), after the listed cost of tools you already use. A tool whose entry price fits its share gets +2, over 2× gets −2, and over 4× gets −4. Free tools get +2.
  • Must-haves: +4 when the listing shows the must-have, +2 to +3 when it's an add-on, on some plans or reported by third parties. When we can't confirm it, the tool gets 0 and we flag it. Tools whose listing shows the must-have isn't offered are left out.
  • Your EHR: scribes, phones, intake, billing and inbox tools get +3 when their listing names your EHR as an integration (+5 if "works with my EHR" is a must-have), and +1 for "works with any EHR" or copy-paste.
  • Tie-breaker: 0.3 × the editorial AIOP Score, which is calculated from the same published facts.
