AI Tools for PMHNP Private Practice: How to Pick an Admin Stack
How psychiatric NPs choose an admin AI stack — EHR, scribe, phones, intake, inbox and billing — using published pricing and BAA status from our directory. Admin/ops only.
The admin jobs that matter
Most solo PMHNP practices do not need every AI category on day one. Pick tools by the admin job they do, not by marketing labels. This map matches how our directory is organized.
| Job | Why it matters for a psych NP practice |
|---|---|
| EHR & e-prescribing | Your system of record. For a PMHNP, EPCS, PDMP access and psych note templates usually decide the shortlist. |
| AI scribe | Drafts visit notes for your review. Cuts documentation time; you still sign every note. |
| Phones | Answers calls, takes messages and books when you can't. Route clinical or urgent calls to a human. |
| Intake | Digital forms, consents and card-on-file before the first visit. |
| Inbox | HIPAA-eligible drafting for letters and admin email — never consumer chat tools with PHI. |
| Billing | Claims, prior auths, and out-of-network claim filing if you are cash-pay / OON. |

Order of operations
Buy in this order so you don't pay twice for the same job or lock into an EHR that can't prescribe.
- EHR first. Confirm e-prescribing (including EPCS if you prescribe controlled substances), telehealth, claims or cash-pay billing, and a BAA on the exact plan.
- Then one time-saver. Usually an AI scribe or phone coverage — whichever burns the most hours this month.
- Then intake and inbox. Forms and secure drafting reduce phone tag and after-hours admin.
- Billing add-ons last. Free payer portals first for prior auth; paid automation when volume justifies it.
- Get a signed BAA for every vendor that will touch PHI before go-live. See AI tools with a BAA.
1. EHR first (prescribing)
For a psychiatric NP, the EHR decision is mostly about prescribing and documentation templates — not ambient AI marketing.
- Must-haves to list. EPCS and PDMP if you prescribe controlled substances, telehealth with a BAA, insurance claims or a clear cash-pay path, intake/portal, and psychiatric or med-management note templates.
- Psychiatry-forward options in our directory. ICANotes prices by prescribing level (Non-Prescribing $75/mo; Part-Time Prescribing $138/mo; Full-Time Prescribing $213/mo on the vendor blog) with a published BAA PDF. JotPsych is psychiatry-trained and can add eRx/EPCS on higher tiers (Moonlighting $53/mo; Basic $135/mo; Everything $269/mo billed annually; BAA included with every account). Osmind focuses on measurement-based and interventional psychiatry (Osmind One $249/clinician/mo; EPCS +$49/mo; BAA unverified in our check — confirm before go-live).
- Popular mental-health EHRs with prescribing add-ons. SimplePractice Starter/Essential/Plus $49–$99/mo with ePrescribe as a $49/mo add-on plus $89 setup (vendor site); BAA accepted at signup. TherapyNotes Solo $69/mo; ePrescribe $65/prescriber/mo with controlled substances at no extra fee (vendor). PracticeQ (IntakeQ) Practice Management $84.90/mo with eRx priced separately; BAA included.
- Lower-cost starters. Carepatron has a Free plan and paid Plus/Advanced per user; BAA accepted on all plans including Free. Confirm prescribing depth for your workflow before you commit.
- Total the real monthly cost: base + ePrescribe/EPCS + AI notes + telehealth + per-claim fees. Confirm data export before you sign.

2. AI scribe / documentation
Ambient and therapy-focused scribes draft notes you review and sign. They do not replace your clinical judgment.
- Mental-health oriented listings. Blueprint is priced per session (reported $0.99/session with your EHR, $1.49 all-in-one; BAA reported automatic). Berries is built for mental health clinicians (Pro $79/mo annual or $99 monthly; BAA automatic at signup). Mentalyc reports $14.99–$99.99/mo billed annually (BAA reported yes). Supanote Starter $19.99/mo; Pro $39.99 unlimited (BAA on every account). Twofold Health Free plan or Personal $69/mo ($49 annual); BAA automatic; works with SimplePractice and TherapyNotes via copy-paste.
- Broader ambient options. Freed Starter $39 / Core $79 / Premier $119 (BAA in Terms at signup). Commure Scribe lists psychiatry and behavioral health templates; Scribe Pro $89/mo or $59/mo annual after a free trial (signed BAA via support).
- Built into some EHRs. JotPsych and several EHRs bundle or add AI notes — count that before buying a separate scribe.
- Get patient consent for recording per your state rules. The clinician reviews and edits every note before signing. Track minutes per note for two weeks so you know if it is worth the fee.

3. Phones and scheduling
A missed new-patient call is often a lost patient. AI receptionists answer, book and take messages; urgent or clinical calls should escalate to a human.
- Flat per-provider options. DeskMD Standard $299/provider/mo or Pro $449 with unlimited calls and a BAA on every account; it does not write to the EHR. MedReception AI Studio $299/mo self-serve, or managed plans from $495/mo; BAA signed for PHI deployments (vendor HIPAA page). Affiliate link for MedReception is currently off on this site pending a brand slug — use the directory page for facts.
- Lower published entry points. Central is reported at $89/mo for 90 calls with a 10-day trial and calendar booking (BAA reported yes). Phone Stack Growth $199/mo (1,000 min) / Scale $399/mo; BAA on Scale and Enterprise only.
- Build-your-own. Retell AI is usage-based ($0.07–$0.31/min) with a medical answering template and a self-service BAA portal — more flexible, more setup.
- Write escalation rules before go-live. Get the BAA for the exact plan before patient calls are recorded.

4. Intake
Digital intake cuts check-in time and missing paperwork. Prefer tools with a BAA on the plan you buy.
- Jotform (HIPAA) supports HIPAA forms on Gold or Enterprise after you enable HIPAA and sign the BAA (Gold reported $129/mo or $99/mo annual).
- IntakeQ and PracticeQ (IntakeQ) include a BAA; PracticeQ Practice Management is $84.90/mo (low volume $59.90/mo).
- Availity Essentials is a free multi-payer portal for eligibility and authorizations (confirm your organization's participation agreement / BAA).
- Send forms automatically when someone books. Don't collect clinical details through an ordinary website contact form.

5. Inbox and HIPAA-safe drafting
Never paste patient details into consumer AI chat tools. Use a vendor that will sign a BAA for the exact plan you use.
- BastionGPT is a HIPAA-oriented AI assistant for drafting letters and admin text (reported $20–$75/user/mo; signed BAA).
- Paubox encrypts email (Mailbox $20/mo; Email Suite from ~$32/mo for up to 5 senders); BAA on every plan.
- Google Workspace + Gemini: BAA on eligible Workspace plans when accepted in the Admin console; Gemini in Workspace is covered — confirm which Gemini products are in scope.
- Chat Data can power a website FAQ chatbot; BAA available on Standard ($95/mo) and above. Keep a person responsible for replies; no PHI in public chat.
- Keep ad-tracking pixels off booking, intake and portal pages.

6. Billing, prior auth and out-of-network
Start with free payer tools when they cover your volume, then add paid automation.
- Prior auth. CoverMyMeds is free to providers with a published BAA for portal use. See prior auth AI tools before paying for automation.
- Out-of-network / cash-pay claim filing. Thrizer, Mentaya and Reimbursify help patients get reimbursed when you are OON — compare fees and who pays. Read Thrizer vs Mentaya vs Reimbursify and Newsletter Issue #1: Who should file the out-of-network claim?.
- Patient acquisition marketplaces. Klarity Health is pay-per-booking for psychiatric prescribers (fee not published; optional free credentialing for first 3 panels). Psychology Today Directory remains a common listing channel.
- Don't bill a payer before your effective date. Track denials weekly for the first 90 days.
A simple budget frame
Use directory list prices as a planning floor, then confirm with each vendor. Illustrative solo stack ranges (not recommendations):
- EHR: roughly $50–$270/mo depending on prescribing depth (examples above from our directory).
- Scribe: roughly $0.99/session to ~$100/mo for mental-health focused tools, or included in some EHR tiers.
- Phones: roughly $89–$449/mo for published small-practice plans; usage-based platforms vary with call volume.
- Intake / inbox: often $20–$130/mo depending on HIPAA plan tier.
- Rule of thumb: automate the job that costs you the most hours first. Revisit after 30 days with real numbers.

Frequently asked questions
What AI tools does a solo PMHNP need first?
Usually an EHR that supports your prescribing workflow, then either an AI scribe or phone coverage — whichever takes more hours. Intake and HIPAA-safe inbox tools come next. Billing automation is last unless prior auth volume is already high.
Can I use ChatGPT or consumer AI with patient notes?
Not for PHI. Use tools that offer a Business Associate Agreement on the plan you buy, and keep patient details out of consumer chat products. See our BAA guide and BastionGPT / Paubox / eligible Workspace listings.
Which EHR is best for a psychiatric NP?
It depends on EPCS, PDMP, templates and total cost. Compare ICANotes, JotPsych, Osmind, SimplePractice, TherapyNotes and PracticeQ on our psychiatry EHR comparison and confirm current pricing and BAA terms with each vendor.
Do AI receptionists write to my EHR?
Not always. For example, DeskMD does not write to the EHR; others book via calendar or EMR integrations on some plans. Check write-back on each tool page before you buy.
